BIZTracker Tutorial

Signing In

Authenticate with your Google account

🔐

CLICK "SIGN IN WITH GOOGLE"

On the login screen, click the Google sign-in button to authenticate with your authorized Google account.

GRANT PERMISSIONS

Allow access to Google Sheets (for data), Google Tasks (for task management), and Google Drive (for file uploads).

🚀

ACCESS GRANTED

Once authenticated, you'll see the main dashboard with all your pipeline data.

💡 TIP

Your session is saved, so you won't need to sign in every time. Use "Sign Out" from the menu to switch accounts.

Dashboard Overview

Understand the main interface

The dashboard gives you a complete view of your pipeline at a glance.

📊 STATS CARDS

Top cards show Closed & Under Contract total, Active deals, and Pipeline value. Click any card to filter the table.

📋 DEALS TABLE

All your deals displayed with client, type, status, trend, price, GCI, team net, and production columns.

🔍 FILTER BAR

Search and filter deals by status, transaction type, or trend to find what you need quickly.

☰ MENU

Access additional features, team tools, export options, and settings from the hamburger menu.

Adding Deals

Create new pipeline entries

CLICK "+ ADD DEAL"

Located in the top right of the dashboard. This opens the deal entry form.

FILL IN DEAL DETAILS

Required: Client name (format as "BUYER - Name" or "SELLER - Name")
Optional: Transaction type, source, status, address, price, close date, trend, action items.

CLICK "SAVE"

Your deal is saved to the pipeline and immediately visible in the table.

💡 TIP

For rentals (Tenant, Landlord), enter the annual rent in the price field. GCI calculates automatically based on transaction type.

Editing & Viewing Deals

Update deal information

CLICK ANY ROW

Click on a deal in the table to open the detail view showing all information, notes, and linked tasks.

MAKE CHANGES

Update any field - status, price, close date, trend, action items, or add links to Compass and Drive.

💾

SAVE YOUR CHANGES

Click "SAVE" to update the record. All changes sync immediately to the shared Google Sheet.

🗑️

DELETE A DEAL

Use the "DELETE" button (red, bottom left) to remove a deal. You'll be asked to confirm.

Managing Notes

Track activity and communications

ADD A NOTE

In deal view, type your note in the notes field and click "ADD NOTE". Notes are timestamped and attributed to you.

📜

VIEW NOTE HISTORY

All notes appear in reverse chronological order - newest at the top.

COPY NOTES

Click "COPY" to copy the most recent note to your clipboard for pasting into Compass or emails.

Creating Tasks

Set reminders and follow-ups

CLICK "+TASK"

In the table or deal view, click the +TASK button to create a new task for that deal.

SELECT TASK LIST

Choose which Google Task list to add the task to (e.g., your personal list or a shared team list).

SET TITLE & DUE DATE

Enter a task title and optional due date. The client name is automatically included for easy reference.

VIEW UPCOMING TASKS

From the menu, select "View Tasks" to see all tasks due in the next 7 days with overdue alerts.

💡 TIP

Tasks sync with Google Tasks, so you'll get reminders on your phone and in Gmail!

Filtering & Searching

Find deals quickly

Quickly find deals using the powerful search and filter options.

🔍 SEARCH

Type in the search box to filter by client name or property address. Results update as you type.

📊 STATUS FILTER

Filter by pipeline stage: Nurture, Pipeline, Active, Contract, Closed Not Paid, or Closed Paid.

🏷️ TYPE FILTER

Filter by transaction type: Buyer, Seller, Tenant, Landlord, Referral Out, etc.

📈 TREND FILTER

Filter by deal trend: Positive, Neutral, or At Risk to focus on deals needing attention.

💡 TIP

Click the stats cards at the top to quickly filter by Active, Pipeline, or Closed & Contract status!

Summary View

View pipeline totals and breakdowns

CLICK "SUMMARY" TAB

Switch from Pipeline to Summary view using the tabs below the stats cards.

VIEW BY STATUS

See deal count, GCI, team net, and production totals broken down by pipeline status.

🏷️

VIEW BY TYPE

See the same metrics broken down by transaction type (Buyer, Seller, etc.).

📤

EXPORT SUMMARY

Use the export buttons to download summary data as CSV or print as PDF.

Compass Integration

Connect to brokerage reporting

ADD COMPASS LINK

In deal edit view, paste the Compass Business Tracker URL for that deal into the "Biz Tracker Link" field.

CLICK "COMPASS"

In the table, deals with a Compass link show a "COMPASS" button. Click to open directly in a new tab.

📋

COPY NOTES TO COMPASS

Use the "COPY" button to grab your latest note and paste it into Compass for consistent record-keeping.

Google Drive Files

Manage client documents

ADD DRIVE FOLDER LINK

In deal edit view, paste the Google Drive folder URL for that client into the "Client Drive Folder" field.

OPEN FOLDER

Click "OPEN" to jump directly to the client's Drive folder in a new tab.

UPLOAD FILES

Click "UPLOAD" to select a file from your computer and upload it directly to the client's Drive folder.

DRIVE LINK IN TABLE

Deals with a Drive folder show a "DRIVE" link in the table for quick access.

Exporting Data

Download reports and data

Export your pipeline data for reporting or offline access.

📄 EXPORT TO CSV

Download the current filtered view as a CSV file. Opens in Excel, Google Sheets, or any spreadsheet app.

🖨️ PRINT / PDF

Open print dialog to print or save as PDF. Clean format optimized for printing.

📊 SYNC SUMMARY

Update the Summary tab in Google Sheets with current totals (Menu → Sync Summary Sheet).

✉️ EMAIL DEAL

From deal view, click "EMAIL" to compose an email with deal details pre-filled.

🔄 REFRESH DATA

Reload the latest data from the Google Sheet to see changes made by other team members.

📊 SYNC SUMMARY

Push current summary calculations back to the Google Sheet Summary tab.

📋 VIEW TASKS

See all Google Tasks due in the next 7 days, including overdue tasks highlighted in red.

🌙 LIGHT/DARK MODE

Toggle between dark mode (default) and light mode for your preference.

📄 EXPORT OPTIONS

Export to CSV or Print/PDF - includes only the currently filtered deals.

Quick links to Pipeline Sheet, Compass, ABOR MLS, Calendar, and Offer Analysis tools.
